Create an Absence Record When on Multiple Assignments, Secondments or as a Program Coordinator

1. Log into HRMS and click on the blue Guided Learning (GL) tab, located on the right.

2. In the GL search box, type “Create an Absence Record When on Multiple Assignments”.

Steps

This knowledge article will show you how to create an absence record when on multiple assignments.

1. Sign into Employee Direct Access (EDA) using your single sign-on ID and password.

2. Click on ‘Time and Absence’. 

3. Click on ‘Actions’ pane.

4. Click on ‘Mantain Absence Records’. 

5. Click on ‘+Add’. 

6. Select ‘Absence Type’ from the drop-down.

 

If you are are entering absence for 1 day:

7. Click ‘Advanced Mode’.

8. Click on ‘+Add’. 

9. Select ‘Start Date’

10. Select ‘Duration’.

11. Select Job or Assignment from the drop-down.

Note – You must select the correct active assignment against the absence type submission. For Example; 1) if you are a Program Coordinator, select your Professor assignment, 2) if you are a seconded assignment, then select that assignment; 3) if you have multiple assignments, select the assigment for which you are entering the absence against.

12. Click ‘Submit’.

If you are entering absence for more than 1 day:

7. Click ‘Add Range of Dates’.

8. Select ‘Start Date’.

9. Select ‘End Date’.

10. Select Job or Assignment.

Note – You must select the correct active assignment against the absence type submission. For Example; 1) if you are a Program Coordinator, select your Professor assignment, 2) if you are a seconded assignment, then select that assignment; 3) if you have multiple assignments, select the assigment for which you are entering the absence against.

11. Select Daily Duration.

Note – Confirm the Total number of absence days are correctly reflected in the system.

12. Select Reason from drop-down, if applicable.

13. Click ‘Submit’.
