Research & Innovation is happy to support you and your research team! Several resources are provided below to assist you in staffing your project. All projects must adhere to a specific hiring procedure, which includes mandatory onboarding training. Faculty researchers must also ensure that all paid research team members submit timecards regularly and that the research office receives the required approval.
Tips for Success:

Read through the Principal Investigators Onboarding Handbook.

Provide your Project Coordinator with research assistant contract request 3 weeks prior to desired start date

Ensure that all your research assistants have completed their onboarding training within the first two weeks of their start date

Ensure that timesheets are submitted biweekly to all research staff
New Contract Request
To hire a Research Assistant (RA), the Principal Investigator (PI) must complete the attached “New Contract Request” template with student information and send it to their Project Coordinator (PC). Please keep in mind that the hiring process can take up to 2-3 weeks, which means that if the PI submits the request on September 1, the contract will be active by September 21. Please takes this into consideration when scheduling project timelines.

Employment contracts dates must fall within the dates of the grant.

Contract start dates should always be on a Monday (or Tuesday if there is a Holiday on the Monday).

Contract end dates should be on a Friday.

Contract extensions follow the same process as a new contract request.

Timecards
All hourly research staff must submit their timesheets for approval on a biweekly basis. The research office send a biweekly e-mail reminder to all project staff the week that timesheets are due. Research staff are required to submit their hours to their Principal Investigator for approval using this MS Form. Principal Investigators/Project Supervisors will receive an email notification and a Microsoft Teams notification for the timesheet approval of each research staff. Each week of work must be approved separately. Approval instructions can be found here. It is the Principal Investigators’ responsibility to verify the hours worked. Research & Innovation staff will then approve the timecards on HRMS (Human Resource Management System). If no approval is received, hours will not be approved in HRMS, and payment to research staff may be delayed.

Key notes:
- On Statutory Holidays or College Closure Days, no staff should be assigned to work.
- Work hours must adhere to the terms of the employment contract.
- All project communication with your research assistants should be made using their employee e-mail address.
