Did you know? Helpful HR-related information and best practices (Icon)
Welcome to a new monthly series of “Did you know? Helpful HR-related information and best practices.” Every month, there will be a Communiqué announcement that will cover tips, best practices and general HR-related topics.

This month’s topics include important information about banking information for new employees, submitting time cards on multiple assignments, time card approval process, manager reports that assist with time entry and approval, and a reminder about the upcoming HRMS Manager Recruitment Training. The topics are divided by those applicable to employees and managers/delegates.

For future topic ideas, we would like to hear from YOU!

If there is any general HR-related information that you think would be helpful for yourself and/or your colleagues, please email your suggestions to oe@humber.ca.

Employees

Entering Banking Information

Did you know that one of the most important activities new employees must complete is entering their banking information in the HRMS?

Employees will not get paid if we don’t have their banking information, which makes this step a critical activity when new employees join Humber.

To enter banking information in the HRMS, follow the step-by-step instructions to Add or Update your Banking Information or Personal Payment Method.

Managers are encouraged to follow-up with new employees to ensure they enter their banking information on the HRMS timely and accurately.

For assistance, employees can contact the HR Support Centre.

Time Cards for Employees with Multiple Assignments

Did you know that how an employee with multiple assignments submits their hours worked, directly affects a department’s budget?

If you are an employee with multiple assignments (contracts), it is imperative that you ensure you are entering time for the correct assignment prior to submitting your time cards for manager approval.

Before you enter your hours in the HRMS, please refer to the Employment info section to view your assignment details. The assignment details will help you determine which assignment you must enter time for.

Note: Time submitted against an incorrect assignment may result in delayed or incorrect pay.

*It is important that managers and delegates review the hours submitted and approve the hours for the correct assignment number for their employees.

To submit a time card, follow the step-by-step instructions to Submit Time for the Current Week or Submit Time for any Week.

Managers/Delegates

Time Card Approval Process

Did you know that the time card approval process helps to ensure employees are paid on time and accurately?

Managers receive email notifications from the HRMS on Tuesday mornings and Friday afternoons (each week) as a reminder to approve time cards. Failure to approve time cards in accordance with Payroll’s deadlines will result in employees not receiving their pay.

For important Payroll dates, please visit the payroll calendar.

To approve time cards in the HRMS, follow the step-by-step instructions to Approve Employee Time Cards.

Viewing Manager Reports

Manager Position Hierarchy Report
This report displays all positions (direct and/or all) that report to the manager. This information supports recruitment for full-time (FT) positions.

The report is available in two locations: For the delegates, the report is available under the “Talent Acquisition” tab. March 22 marks the start of Ramadan

Humber College is committed to the principles of human rights, equity and inclusion. March 22, 2023, marks the start of Ramadan. Celebrated during the ninth month of the Islamic calendar, Ramadan is observed by Muslims worldwide as a month of fasting, introspection, reflection, and a time to focus on spirituality and charity. Eid al-Fitr, which starts on April 20 this year, celebrates the end of the month of Ramadan and involves food and gatherings.

As a reminder, many Humber students, faculty and staff may be fasting during this month. Please be mindful that they may require accommodation, such as flexibility related to scheduling or extensions, to observe and celebrate. When this holy month overlaps with exam season, Muslim students may have increased anxiety around deadlines, altered sleep patterns, changes in energy levels and commitment to prayer timings.

If you have questions regarding the duty to accommodate based on creed, please contact humanrights@humber.ca

The Humber community is encouraged to learn more about this important time for many and to support those who are fasting.

Here are some ways to support students and employees:

  • Flexibility: Be adaptable with deadlines. Ramadan fasts range from sun up to sun down. If a student or staff member asks for an extension, strongly consider granting it.
  • Make concessions: A pillar of Islam is the five daily prayers, which become even more essential during Ramadan. Allow breaks for those who request the time to complete their prayers. You may wish to discuss break timings with your students or staff ahead of time to promote an easy transition.
  • Advocate: Be an ally in your department for students and staff who are fasting or observing Ramadan. For example, consider team-building activities that do not involve food or drink during this time.
  • Exams: Depending on scheduled exam times, students may request accommodations.

On behalf of the Centre for Human Rights, Equity & Inclusion and Student Success & Engagement, we wish you a peaceful and happy Ramadan.

Accessible Learning Services shares some best practices considerations:

  • In Fall 2020 and Spring 2021, University of Illinois conducted a survey across 49 undergraduate courses in engineering and computing to identify course components that engage students with and without disabilities

  • Surveyed students’ satisfaction with over ten course modalities including: live Zoom lectures, recordings of lectures, small group discussions, instructor notes, transcripts of lecture videos, discussion boards, etc.

  • Students with disabilities preferred: recorded lecture videos with transcripts, course textbook and instructor notes/slides that they could engage with offline.

  • Results demonstrated the need for all students to have access to multiple modalities including video and text-based content delivery. An approach that provides accessible content for everyone, supporting Universal Design for Learning (UDL) Principles.

  • Access the full study

Visit our ALS Information for Faculty website to learn more about accommodating students with disabilities.

Please email us at accessible-learning@humber.ca with suggestions for key accessibility-related topics that you would like us to address through the Communiqué.
