Approve Employee Time Card

Learn how to perform this action in the HRMS.

Steps

1. Sign into HRMS using your single sign-on ID and password.

2. Click ‘Me’.

3. Click ‘Manage Time Cards – Delegate’.

4. Click ‘Team Time Cards’on the left side.

Note: Only Manager and Delegate with Time Card Editor & Approval Role can approve time.

Option A: To search by time card status (via Time Management Overview)

The Time Management Overview provides a summary of the team’s time card statuses.

5. Select the ‘From Date’and the ‘To Date’ and then click the Search icon on the right.

Note: The Status section reflects the current status of the Time Card.

‘Entered’ status means the employee has created a time card but no details were saved/submitted.

‘Saved’ status means the employee has entered their hours but remains in draft mode.

‘Submitted’ status means the time card has been sent to the Manager for review/approval.

‘Approved’ status means the time card has been sent to Payroll for processing.

6. Under the Status section, click on ‘Submitted’ to filter the time cards.

7. To view the details of the time card for an employee, click on the ‘Period Start Date’ beside the employee’s name.

8. To view the Calculated hours, click on ‘View Calculated Time’above the table. This will provide a breakdown of the hours after the meal break deductions, if applicable.

Note: There is a difference between ‘Reported’ and ‘Calculated’ hours.

• ‘Reported’ hours reflects number of hours entered prior to any applicable meal break deductions.

• ‘Calculated’ hours reflects automatic meal break deductions from the hours entered under Regular Hourly payroll time type. For example, after 5 hours of continuous work, 30 minutes will be deducted; and after 7 hours of continuous work, 1 hour will be deducted.

• ‘Calculated’ hours are used to process pay.

9. Once you have reviewed the information, click on ‘Approve’ at the top of the screen.

Option B: To search for a specific employee’s time card

5. Click ‘Team Time Cards’on the left side.

6. Enter ‘Person Name’and/or ‘Person Number’.

7. To locate time cards from a specific duration, click on ‘Date Range’ under the search bar. Then, input the Start Date and End Date by selecting the calendar icon.

8. To filter the time card status, click on ‘Status’ under the search bar and select Submitted.

9. To view the details of the time card for an employee, click on the ‘Period Start Date’ beside the employee’s name.

10. Once you have reviewed the information, click on ‘Approve‘ at the top of the screen.
