How do I pay off the rate grid for a contract?

Where possible, employees should always be paid on the rate grid. However, if there is a compelling reason an employee needs to be paid off the grid, please follow the steps below.


Part-Time Support Contract

  1. In the ‘Rate’ field on the offer, select the closest rate on the ‘Non Bargaining Unit’ grid. This rate will not show on the candidate’s offer.
  2. In the ‘PT Support Collective Agreement Contract Rate’ field on the offer, enter the correct rate in the following format: XX.XX (example: 24.13). This is the rate that will show on the candidate’s offer.
  3. When you request approval on the offer, add a comment for the Talent Acquisition Advisor. For example: “Please note the employee is being paid off the grid. You will need to manually override their rate in HRMS.”

Part-Time Admin Contract

  1. In the ‘Rate’ field on the offer, select 35.35 (the highest rate) on the ‘Non Bargaining Unit’ grid. This rate will show on the candidate’s offer, however, the next step is to add a note for the candidate.
  2. In the ‘Notes’ field on the offer, add a comment indicating the employee’s correct rate. For example: “Please note your hourly rate will be $50.00, not $35.35 as indicated above.”
  3. When you request approval on the offer, add a comment for the Talent Acquisition Advisor. For example: “Please note the employee is being paid off the grid. You will need to manually override their rate in HRMS.”
